Supplier code
We put our name on the paperwork. That is only worth something if we know how the goods were made — so this is what we ask of every producer we buy from.
Last updated: 2026. Draft for review.
This code applies to every producer, manufacturer, distiller, packer and intermediary that supplies Nilveo General Trading LLC. Accepting an order from us means accepting it. We would rather lose a margin than sign for goods we cannot account for.
1. Legality
Operate under valid licences and permits for the product and the site. Comply with the law of the country of production, including extraction, environmental, food-safety, cosmetic and export law. Pay lawful taxes and duties.
2. Labour and human rights
- No forced, bonded or trafficked labour, and no retention of identity documents or wages as a means of control.
- No child labour. Workers must meet the legal minimum age in the country of production; young workers must not do hazardous work.
- Wages at or above the legal minimum, paid on time, with a written record the worker can see.
- Working hours and rest days within the law. Overtime voluntary and paid at the lawful rate.
- No discrimination, harassment or physical discipline.
- Freedom of association where the law allows it.
Seasonal harvest work — jasmine, rose, herbs — is where these obligations are most often ignored. We will ask about it, and we will ask again during a visit.
3. Health and safety
Provide a safe workplace: guarded machinery, ventilation and fire safety, protective equipment where chemicals or solvents are used, potable water and sanitation, and training in the language your workers actually speak. Report serious incidents to us if they affect a lot we have contracted.
4. Environment
Hold the required environmental permits. Manage waste, wastewater and solvent recovery lawfully. For wild-collected botanicals, harvest at a rate the stand can sustain and respect protected species and CITES listings. For extracted minerals and salts, work within the terms of the concession.
5. Product integrity
- No adulteration. No dilution, reconstitution, species substitution, undeclared additive, or synthetic material presented as natural.
- No document falsification. Certificates of Analysis, origin certificates and test reports must describe the lot actually shipped.
- Traceability. Every lot traceable to the growing area, deposit or production run, with records kept for at least five years.
- Retained samples. Keep a sealed counter-sample of each lot for the product's shelf life or two years, whichever is longer.
A single falsified document ends the relationship. There is no second conversation about it.
6. Business conduct
No bribes, kickbacks or facilitation payments, offered or accepted, including to or from our own staff. Declare any conflict of interest. Comply with applicable sanctions and export controls. Protect the confidential information and formulations of Nilveo and its customers.
7. Verification
We visit. We take our own samples, we test them independently, and we may ask to see payroll records, permits and production logs. We may bring a third-party auditor. Announced or short-notice, access to the site is a condition of supply.
8. Speaking up
Anyone — a worker, a neighbour, a competitor — can report a breach of this code to conduct@nilveo.com. We will treat the report confidentially and we will not accept retaliation against anyone who makes one in good faith.
9. If something is wrong
Where a breach can be fixed, we will agree a corrective action plan with a deadline and verify it. Where it involves forced labour, child labour, falsified documents or deliberate adulteration, we stop buying.
